Building a “Second Brain” for Our Leadership Team — Need Advice
Hey everyone, has anyone solved a workflow like this before? We’re building a “second brain” for the leadership team at Montessori Thrive. The goal is not just to store docs, but to process them as they come in — add metadata. Where we’re stuck is the trigger. We have documents spread across multiple Google accounts, and we’re trying to consolidate everything into one main Google User account (leadership@). What we want is a very simple pipeline: File gets dropped into one intake folder → that triggers processing automatically → Claude adds metadata and categorizes it → then it gets moved into the right place in the Leadership Drive. Right now, we’re still stuck in a manual download → upload → reorganize loop, and that’s slowing everything down. What we’re trying to avoid: manual download / re-upload having to keep telling the system what to do any workflow that breaks unless a human babysits it What we need: a simple folder-based trigger file transfer between Google accounts at scale automatic processing during ingestion ideally one workflow that handles both transfer and structuring We’re open to scrappy solutions, automations, or even “we tried this and it was a disaster” stories. Would love to hear how others have handled this.

Have you looked at the automations in Google Workspace Studio? That can be used to automate files in a Google Drive, amongst other things. Then you could maybe add the knowledge into something like Chatbase.co to allow you to query it, while still having a human-in-the-loop to override responses (and update the knowledge base with the newer answer, or even escalate a query to a human).

More importantly, I’ve spent years watching capable coaches and consultants struggle to get clients not because they lack skill… but because they can’t clearly explain what they do. What I WANT: To push deeper into building authority-driven businesses at scale. I am not interested in more tactics. Interested in refining systems that make the right clients show up already convinced. Also here to sharpen thinking by being around operators who are actually building, not just talking. What I NEED: Pressure from people who don’t tolerate vague thinking. Specifically around: Scaling authority without diluting positioning Turning frameworks into assets that compound (not just deliver results) Expanding reach while keeping signal tight I’m very clear on one thing: Most people don’t have a lead problem. They have a clarity problem. Fix that, and everything downstream gets easier. Looking forward to seeing what others are building and where I can contribute.

It's interesting that you said this: What I NEED: - Scaling authority without diluting positioning - Turning frameworks into assets that compound (not just deliver results) - Expanding reach while keeping signal tight I immediately thought of content flywheels as described by Nathan Barry here: https://nathanbarry.com/creator-flywheels (He's also got a few videos on YouTube about it.) In brief, you create systems where results compound over time (aka where the flywheel gets faster and faster). Like getting good Google Business Profile reviews increases the prominence of your Google Business Profile, which increase the number of leads you get, which increases the number of reviews (so long as getting a review is part of the process after completing a job), and round you go for another iteration but faster. (I prefer to think of a snowball going down a hill than a flywheel, but same difference.) In one of Nathan's interviews with someone (the guest's name escapes me), he talked about how getting subscribers onto his email list meant each social media post got more views (because he'd email about each new social media post), which in turn brought more views of his social media post, which brought more email signups since each post has a link to his email newsletter at the bottom. I think they even ran paid ads to get signups to speed it up. Something like that anyway. "Expanding reach while keeping signal tight" is interesting. Do you have to keep the signal that tight? I'm toying with going broader with my content to have more mass appeal, and sprinkling what I do into the stories ... so the story isn't about Google Ads per se, but uses Google Ads as a tool that could help a business owner validate demand quicker and fail faster (for instance). Can you elaborate on what you mean about "Scaling authority without diluting positioning"?

@Mike McMahon ... exactly. Adding why it helped you is key. It not only helps the person you're replying to, but it also helps you to start producing. It's all about moving from team consumer to team producer. And when you're on team producers you know how hard it is to get engagement and thoughtful comments! LAST WEEK: I posted the first YouTube short in a while and it got 1.4k views, which I think is pretty good for me. ​I've been researching faceless YouTube channels and came across a specific style for stickman videos. I found a custom GPT designed for this and was impressed enough that I signed up for a paid ChatGPT plan just to keep using it after hitting my usage limits. ​On the image generation side, I’ve had a frustrating time with Gemini and ChatGPT. I tried to create a basic logo (white text saying "Simple" on a black background) but neither could handle basic edits like making the text bigger. They just kept generating the same image. I tried Canva’s AI as well, but it was just as underwhelming and told me to do it manually in the interface, which I eventually did. ​I also paid for openart.ai for my son, but he got frustrated with the AI video tools and went back to using Blender for manual control. We still have a few weeks left on that subscription, so I might experiment with it myself before it expires. ​THIS WEEK: ​I’m planning to try out Google's Whisk to see how it handles character consistency from a reference image. My main goal is to keep using the custom GPT for YouTube Shorts scripts, recording my own voiceovers, and adding images. I’m keeping the editing simple with minimal animation to stay efficient.

@Kasim Aslam ... excellent work. I tried to do a voiceover last night and, maaan, it's so hard even not being on camera. So big respect for your presentation skills. I like how the editing isn't too over the top and gimmicky. I'm doing faceless shorts for the moment just to get back into the swing of it. And it's taking a good while to figure this out! EDIT: Ok, I watched it all. I noticed your energy and passion rose towards the end. Was that you getting into it more as you went? I'm going to share that video in the forum I'm a moderator in. Great work.

I see the writing on the wall for how our business model is changing so I need to pivot the business in order to survive the changes with AI. I want to pivot the business to one that utilizes the AI tools with our expertise. I'm looking forward to learning and hopefully contributing value too.

@Brandon M ... I imported 176 videos and podcasts from my channel into a Notebook, plus 394 opening posts of threads I created in a forum (I had to merge those into one doc to keep within the 300 sources limit for a single Notebook). I actually made that Notebook available for people to chat to and it seems to have helped people. I often add that Notebook plus other Notebooks trained on "YouTube Shorts Tips", "Ed Lawrence" (a YouTube expert), etc into a single Gemini chat. I can then make Gemini into my YouTube Shorts consultant and get it to help me find and script content out of what I've already created. It's just the start, and I end up going back and forth a lot to refine the script. But I love turning YouTube videos into an AI consultant to help me on my specific content or business (I've another Notebook just containing information about me, my values, my goals, my strengths/weaknesses, and my current business.) EDIT: If you look at my latest Short video (posted less than 24 hours ago), you can see how I created quite a tight script that I then did the voiceover for, and then added visuals.
